Class Pass memberships are useful when your new member is still trialling your dojo and not ready to fully commit to an ongoing membership. A Class Pass lets you collect a fee upfront and then assign a number of classes to that student. For example, you may charge $200 upfront and thatallows your student 10 visits. At the end of the 10th visit you will be alerted when they attempt to book or check in again.
To add a class pass, click on the Admin button at the top right of your Clubworx account and select membership plans.
Then click the orange button +New plan.
You will be presented with the screen below. We’ve gone ahead and filled it in so you can see what a class pass looks like. Here is an explanation of each of the options on this form.
Membership name: Give your class pass a name so that you will instantly know what that membership contains. You will be applying these memberships to your students in the future, so save yourself time by being descriptive at this stage of your set-up.
Membership Category: Categories can be used as prompts for the types of memberships you are creating. Are they for single members or families? You set-up your own categories and apply them as appropriate. They do not affect payments or access associated with a membership, they are just prompts for you.
Plan Type: As this is a class pass membership, we have selected Single upfront payment as the option.
Upfront cost: Enter the amount for your class pass pack here.
Class Access: Below is an explanation of each of the options.
Unlimited classes or number of classes – In the example below, we have allocated 10 classes to the pack.
To use anytime or to use every – There are only 10 classes attached to the pack. In almost all cases you will choose the: to use anytime checkbox. We will add an expiry to the class pass below.
Limit the Type/s of Classes/Appointments Members can attend – This is an advanced option that allows you to block members from checking in for certain types of classes. Please contact Clubworx at firstname.lastname@example.org if you would like more information about this feature. Most of our dojos simply leave it unchecked.
Limit the Styles of Classes Members can attend – This option is really only ever used if you sell multiple martial arts styles at your dojo. For example, some of our customers offer BJJ, Krav Maga and Muay Thai. They have memberships which relate to one style, two styles or all styles. In this instance, you may want to limit people with a BJJ membership to attending BJJ classes.
Payment Receipts: Check this box if you want to email receipts of membership payments to your students.
Expiration/End date: Most of our martial arts clients expire class passes after 1-2 months. The deciding factors in making this decision are: how many classes in the pack and what is a reasonable frequency to use these in. For example, you wouldn’t assign a 1-month expiry to a class pass that has 20 visits.
