Please tell us a bit about your business. What makes you different?
We’re a Martial Arts Academy that offers five main programs of training for adults and three for juniors:Adult Programs: Brazilian Jiu Jitsu, Mixed Martial Arts, Muay Thai Boxing, Jeet Kune Do, Filipino Martial ArtsJuniors: BJJ, MMA and Thai BoxingThe head instructors are certified under Dan Inosanto in JKD and FMA. Dan is the other person that developed JKD with Bruce Lee and we are direct students under him. We are also directly certified in BJJ under the Gracie name.
Where are you located?
We are located in Aberdeen in the North East of Scotland, UK.
Have you used other software before?
I used to use Martialytics but I was unhappy with the way it worked although I found the owners and support very good and helpful, the software wasn’t able to cater for my gym at the time.
What made you look for new member management Software? How has using Clubworx made your life easier?
I was particularly looking for software that I could put my class timetable into and then have people log into classes on that schedule. Martialytics didn’t offer this but Clubworx did. They have now developed the Class Kiosk mode to a point where it is exceptionally good for my gym and this combined with Wallet leads to a very quick turn around for my receptionists booking students into classes.
What features/functionality were you looking for your business?
Good calendar and kiosk functions around classes rather than arts.+ Good payment handling – wallet does a great job.
+ Online Waivers – tick.
+ A good messaging system so I can send out class alerts, event info and birthday messages. – tick.
+ Good reporting – tick.
How do Clubworx meet these?
Clubworx pretty much meets most of my requirements. Sometimes it responds a bit slow but that is probably down to my broadband connection.
What is your favourite Clubworx feature?
Kiosk mode.
How has using Clubworx made your life easier?
We can track our students membership and class attendance, we can communicate with them. I’m looking forward to the new features to combine family payments and the update to Kiosk mode (speed is the key here – so not too many features). I also want to be able to better integrate the calendar on the CW website assigned to my account with my WordPress Gym Website. Better embedding options.
The other element is the engagement with the support team. It felt like they were customising the application to my needs and that was great! They responded quickly and clearly too and they keep me up to date with news on updates and changes. 1st class, Gold Service and I work in the IT Industry so I know what I am talking about and have experienced many different levels of service over the years. Customer orientated rather than technology.

Apart from Emily! The software is very easy to use and understand. I feel like I have control over how the software runs and can submit suggestions for improvements to the software.

We are the largest martial arts facility in Australia.We run 3 floor at once plus a gym. We run fitness classes plus a large variety of martial arts classes, such as Karate, BJJ, MMA, Muay Thai, and various weapon systems.

My old system was not web based, and the support guy was slow to respond to technical issues.

It enabled me to run a gym and 3 floors of various fitness classes and martial arts classes all at once.
The ability to manage grades/ranks and hours of training for my martial arts students. But also to be able to manage how many times they were attending a week, this includes my fitness and gym members as well.

The app upgrade we had done that allows our students to see their current rank and hours of training for their gradings is an essential feature of this app.

The app that allows students to see their hours of training and ranks. Also the ability to quickly sms or email everyone.
Would you recommend this software to others?
I would recommend this app to others. In fact I have and they are using it and loving it.
How has using Clubworx made your life easier?
The grading features along with the rank and hours of training features have save me a significant amount of time.
Also being able to quickly communicate with all members take a lot of stress away.
Recently, we had a heat wave and I had to close for one day. It took me 60 seconds to SMS all of our clients advising the of an extreme heat closure.

Clubworx has changed my life/business. All these tasks are virtually done automatically. I now have more time with my kids and this allows me time to focus on growing my business rather then maintaining.....and it has. Within 5 months, we have doubled members even during the difficult times of COVID-19.

We have been operating for over 10 years. We specialize in quality Far Infrared Heated Yoga and Pilates classes and run 26 classes 52 weeks of the year.

We used Mindbody online previously and were a master user.
What made you look for new member management Software?
Our subscriptions were going through the roof as we had every possible automation happening, however, there were still many things which unless I paid an API developer to do, would be impossible to do with Mindbody as there were so many different parties I was using to connect together.
What made you decide to switch to Clubworx?
Were viewed 100 platforms worldwide and were surprised to find Clubworx who were based in Brisbane that could meet all the needs we had (which were a lot) as we had worked out what we needed over the last 10 years, especially to do with the marketing/sequences component.
Did you have any concerns about getting started with Clubworx when you first activated your account?
The concern I had when activating was being able to replace our existing processes and worked out a plan and did it over a 6-month period so that we could sign up all new clients into our new platform to test it and the transition went smoothly.
What surprised you the most about Clubworx when you got started with your account?
We were surprised that we were able to get so much more than we expected from Clubworx especially that it's mostly customisable which is so rare to have this all in one platform and to be able to "whitelabel'' it without any brands on it was golden. Something you would have to pay a lot of money to get from other platforms especially around marketing/sequencing.
What is your favourite Clubworx feature?
Automation is critical to our success at Harlow and has been the key to creating a consistent and positive experience for our members and staff over the years. Clubworx has really helped take us to the next level and given us the customisation that we needed at an amazing cost considering what we are getting.
What are the benefits of using SMS in managing your fitness business operations?
We utilise SMS that is in the Clubworx software (our own custom number) and it is priceless as everyone is so time-poor these days. It is so amazing to be able to see the communication in the clients' contact so it's all in one place which makes it way easier to analyse the contact.
Would you recommend this software to others?
I highly recommend Clubworx because it will give you the support and legs your business needs so that you can run on 1 staff member or less. Also you will have as much capability as your ideas that you have regarding sequencing for customer engagement and lead acquisition. The opportunities are endless, just do it! :)
How has using Clubworx made your life easier?
Since being with Clubworx we have been able to automate a lot of our admin processes and encourage self service saving approximately 15 hours per week. We have been able to train our staff/teachers who are not tech savvy via a 5 min video on how to use the software which would have taken 1-3 months previously with Mindbody. And the best part we have been able to move to a 1,2,3,4 class per week pricing model which for the first time in years we are getting a healthy growth per month because our members are absolutely loving that they can get Makeup classes when they can't make their class, so we are able to create more value for our members and our members are in turn having greater value of one class.
